Operations Administrator

Operations Administrator will organise a team of installation engineers from organising diaries, project progress, customer liaison and to ensure all engineering activities are compliant, efficient and as per company procedures. Will assist with any other operational tasks such as invoicing, ad-hoc tasks set by the Operational Management and any reporting requirements to the business.

08.00 – 16.30 (with 1-hour lunch break) Monday – Friday, 37.5 hours a week.

KEY DUTIES
INSTALLATION ENGINEERS
- Responsible for the co-ordination and evaluation of the engineers’ performance. Responsibilities include planning, assigning and directing work, appraising performance, addressing customer complaints, resolving problems and initiating meetings.
- Conduct site visits to assess method and quality of work and provide engineers with meaningful feedback.
- Conduct engineer meetings, training workshops and lesson learned exercises.
- Provide guidance and support to engineers
- Ensure site plans, drawings and project minutes are available for engineers to refer to where relevant.
- Ensure that on job completion, systems are tested, and customers are effectively trained and provided with relevant documentation.
SCHEDULING AND PROJECT MANAGEMENT
- Prepare for jobs by reading specifications, site plans, drawings and project minutes and ensure relevant engineers are prepared for job requirements.
- Liaise with customers to find out relevant information, keep them informed of job progress.
- Prepare method statements and risk assessments.
- Ensure all working practice adheres to current health and safety requirements.
- Support office colleagues with technical information.
- Ensure systems are installed to specification, within agreed timescales and within budget.
- Be the point of contact for key high-profile sites.
- Present new ideas and suggestions and spot business opportunities.
GENERAL TASKS
- Attend meetings either externally ‘on site’ or within own office environment.
- Consistently update own technical knowledge.
- Perform any other duties that may be assigned on an ‘as needed’ basis.
- Ad-hoc reporting
SKILLS/EXPERIENCE
- Be able to demonstrate scheduling and organisational skills
- Good interpersonal skills to liaise with stakeholders
- Be able to work part of a team
- Microsoft 365 (Essential)
- Experience in Security/Intruder Industry (Preferred)
- Project Management, Scheduling and customer service skills.
- Holds a valid driving licence.
- Must pass a security vetting check to BS7858.
- Previous experience of managing engineers preferable
FLEXIBILITY REQUIRED
- May be occasionally required to stay overnight in hotel accommodation if visiting a site some distance away from home.
PHYSICAL DEMANDS
This role is typical office work. Our office is currently located on the first floor and the building has no lift.
