Shipping Coordinator

Position Description

We are seeking a highly organized and detail-oriented Shipping Coordinator to support shipping operations at our manufacturing plant. The Shipping Coordinator will play a key role in ensuring the efficient and accurate processing of shipments, coordinating logistics, and maintaining clear communication with internal teams and external customers. This role requires familiarity with shipping systems, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Major Areas of Responsibility

Major areas of responsibility include, but are not limited to:

• Safety minded in all work activities; suggest and recommend safety initiatives; commitment to safe work habits, maintaining work are organized aligned with 5S.
• Collect project paperwork from across the plant to facilitate processing and project close-out.
• Close out completed projects in Baan (ERP system).
• Create trucks in VMS to enable team scanning and shipment tracking.
• Respond promptly and professionally to customer emails regarding delivery discrepancies.
• Communicate with internal team members to ensure open items are scanned and updated in VMS.
• Arrange hotshot deliveries as requested by customers for urgent orders.
• Generate Bills of Lading (BOLs) for all service parts shipments.
• Print and prepare shipping labels for all outgoing shipments after processing.
• Finalize and close out truck shipments in both VMS and Baan systems.
• Other duties as assigned by managers.

Required Knowledge, Skills and Abilities

This position requires the following essential knowledge, skills and abilities in order to satisfactorily fulfill the role:

• High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
• Previous experience in shipping, logistics, or a manufacturing environment is required.
• Familiarity with ERP systems (preferably Baan) or VMS is required.
• Excellent communication and customer service skills.
• Strong attention to detail and organizational skills.
• Ability to multitask and prioritize responsibilities effectively.
• Available to work standard working hours with occasional overtime based on business needs.
• Proficiency in Microsoft Office (Word, Excel, Outlook).

Physical Demands

While performing the responsibilities of the job, the employee is required to talk and hear.  This is a walking position for up to 10 hours per day on a concrete warehouse or factory floor.  Ability to lift 40 or more pounds both overhead and at waist level.  The position requires continuous moderate or occasional heavy physical activity due to lifting 16’ to 21’ aluminum extrusions onto a rolling cart for up to 10 hours per day. The employee is required to walk, reach with arms and hands.  Vision abilities required by this job include close vision.

Work Environment

While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts and vehicles.  Exposure to intermediate/loud noise is expected when working in the manufacturing environment.  The work environment is climate controlled.
